We are actively seeking a highly motivated and enthusiastic Senior Specialist of Workplace Management to manage our offices in Paris, Aix and support our office in Tel Aviv where we have one part-time team member that will be reporting to you. You will be joining us on a 8 month fixed term contract as maternity cover, starting in July.

You will take care of the smooth running and general happiness of our offices and colleagues, with a ‘can-do’ attitude, always thinking two steps ahead. Passion and enthusiasm will be key, driving forward new processes and procedures as we continue to scale.

This role also provides a great opportunity for progression and growth.

What you will do:

  • Serve as the first point of contact for all Workplace management matters in Paris & Aix and support our team member in Tel Aviv
  • Manage all aspects of Workplace operations inclusive of space management, in-office experience, health and safety, visitors, security, maintenance, vendor management and local and global events.
  • Ensure key stakeholders are kept well informed of all Workplace management operations
  • Collaborate on a daily basis with our landlord to ensure and provide a gold working experience to all our employees
  • Drive strategic change in region for the Workplace management area to ensure operational excellence
  • Be the local point of contact for the office relocation project for Q1 2025
  • Report on KPIs and SLAs
  • Team management (remotely)
  • Budget management for all 3 sites
  • Operate in line with all CKO Procurement policies
  • Manage third party vendors, ensuring SLAs and KPIs are developed and regularly reviewed.
  • Ensure we are legally compliant for all matters concerning health, safety and security in the region.
  • Collaborate with the wider Workplace team on global initiatives and strategic projects.
  • Administrator of the Workplace Service Desk, ensuring globally set SLAs are met by team.
  • The role is based in Paris and require a minimum of 3 days in-office presence

Qualifications

  • Demonstrable experience as a Workplace/Facilities management professional in a fast-paced, global start-up environment #athletemindset
  • Proven experience managing multi-site building operations cross borders
  • Solid understanding of building compliance and relevant legislation
  • Intermediate proficiency with MS Office, Excel, Outlook and Google Apps
  • Great interpersonal skills and ability to interact and communicate with influence #talkstraight
  • Proactive and solutions focused with a #customer mind to create the best experience possible
  • Attention to detail and strong organizational skills to #betheowner on your daily tasks and projects
  • Strong vendor / contract management and negotiation skills to help our business to #runlean
  • Ability to handle administrative details independently while exercising good judgment in keeping team members and stakeholders informed
  • Hands-on, always ready to roll up your sleeves and go above and beyond for our #oneteam Excellent written and communication skills
