Job Description
We’re looking for someone who makes spaces come alive—someone who notices the details, remembers names, and gets energy from making things run seamlessly. As our Workplace Experience Coordinator in San Francisco, you’ll be the go-to person who creates a warm, well-run, and productive environment for our team. If you’re organized, logistics-savvy, love planning ahead, and genuinely enjoy connecting with others, this is the role for you.
Please note: This position is part-time & on-site 3 days a week from 8AM to 5PM
What you’ll be doing:
Be the face of the San Francisco office: greet employees and guests, manage access badges, and maintain a warm, welcoming atmosphere.
Anticipate employees’ needs to better accommodate them and provide an excellent employee experience.
Oversee daily office operations including food programs, mail, supplies, and workplace tools (e.g., Kastle, Sharebite, Coupa, Brex).
Partner with People and Workplace teams on onboarding logistics, coordinating desk setup, IT, badges, and Day 1 experience.
Support company events, culture initiatives, and social programming, from team lunches to holiday events.
Utilizing strong written communication skills for newsletter reviews, social media posts, and similar.
Manage vendor relationships (cleaning, maintenance, catering), ensuring consistent service and quick issue resolution.
Maintain inventory and supplies, and ensure the workspace meets all health, safety, and aesthetic standards.
Coordinate facilities needs, including room setups, storage management, and compliance with building protocols.
Provide support for budgeting and expense tracking related to office operations.
Qualifications
1+ years of experience in office management, workplace operations, people operations, office coordination, hospitality, facilities, reception, or similar roles.
Highly organized, detail-oriented, and exceptional at planning and anticipating needs.
Strong logistics and operational execution skills; thrives on getting things done.
Friendly, professional demeanor with excellent interpersonal and relationship-building skills.
Strong written and verbal communication skills.
Proactive, motivated, eager to learn, and excited to take ownership of a wide range of responsibilities.
Comfortable working independently and managing responsibilities end-to-end in a fast-paced environment.
Passionate about creating positive experiences for employees and visitors.
Proficient with GSuite, Slack, Zoom, and general office tools. Experience with Brex, Coupa, Kastle, or Sharebite is a plus.
Able to lift 40–50 lbs for occasional storage or deliveries.
Nice to have:
Human Resources experience or a strong interest in building a career in HR.
Event planning experience or background in hospitality.
Exposure to health & safety or compliance protocols.
Experience working in a fast-scaling startup or fintech company.
Additional Information
California law requires Checkout.com to include in job postings a reasonable estimated salary range for this position. However, final salaries may vary subject to several factors, such as a candidate’s level, relevant experience, qualifications, skills and proficiency for the role. Please note that this information is provided for those in San Francisco only, and this role is open to candidates outside of San Francisco as well.
The anticipated hourly pay for this part-time (27 hours/week) onsite role is between $21.00 and $28.00 per hour, based on experience and qualifications.
