Cohesity is looking for a proactive and detail-oriented Senior Manager, Workplace Americas reporting to the Vice President, Real Estate & Workplace. The Senior Manager, Workplace Americas will be responsible for overseeing daily operations across our Americas region, ensuring efficient management and maintenance of workplace facilities in Cohesity core sites and serviced offices. This role will provide executive-level support and visibility into all workplace matters and serve as a key point of contact for site leaders and external partners. The successful candidate will mentor and lead onsite teams, manage vendor relationships, and ensure alignment with corporate workplace initiatives. Located in the Cohesity offices located in Santa Clara, this role works from the office 5 days a week.
HOW YOU'LL SPEND YOUR TIME HERE
Daily Operations Management
Oversee day-to-day operations for all leased and serviced office locations in the Americas region, ensuring seamless functionality of all workplace systems and processes.
Work with your team to maintain a strong presence across all sites in the Americas region, ensuring proper execution of all tasks by onsite teams and contractors.
Lead or participate in key workplace improvement projects, including office relocations, renovations, or expansions. Develop and manage project scope, timelines, and budgets.
Executive Reporting & Financial Oversight
Provide executive support and visibility for workplace-related matters, rolling up key information to senior leadership, specifically to the Vice President, Real Estate and Workplace.
Advise on occupancy trends and leasing strategy to optimize space and services utilization. Identify identifying opportunities for continuous improvement and savings.
Work with your manager in preparing the facilities budget for the Americas region. Monitor and manage expenses related to facility operations. Review and approve vendor invoices.
Collaborate with your manager and finance to review financial reporting for the region, ensuring transparency and accuracy.
Team Leadership & Mentorship
Lead and supervise facilities professionals, while overseeing vendor-managed services. Responsible for team staffing, onboarding, training, and performance management to ensure optimal team performance and service delivery.
Review and approve timecards, performance manage and oversee professional development for workplace staff.
Financial & Operational Accountability
Review and approve office credit card reconciliations, team expense reports, and vendor invoices for completed work.
Participate in annual fiscal budget planning, providing key input to ensure budget alignment with workplace goals.
Vendor & Contractor Management
Identify, evaluate, and manage third-party vendors and service providers. Act as a liaison with landlords, contractors, and service providers. Negotiate contracts, monitor performance, and ensure compliance with service level agreements. Maintain vendor contracts and ensure timely renewals.
Maintain positive client and vendor relationships, ensuring any unresolved facility issues are addressed in a timely manner.
Regularly meet with vendors, review their performance, and approve invoices for services rendered.
Operational Reporting & Maintenance
Review monthly operating reports with your manager, ensuring that all systems are functioning properly and addressing any concerns.
Identify and resolve any potential risks related to Environmental Health & Safety (EHS) and physical security, coordinating with EHS and Security teams on a regular basis.
Cross-Functional Collaboration
Partner with workplace leadership and to ensure alignment on workplace initiatives, events, milestones, and overall goals.
Serve as the key stakeholder for office improvements, ensuring successful implementation of upgrades and repairs.
Backs up the receptionist as needed

WE'D LOVE TO TALK TO YOU IF YOU HAVE MANY OF THE FOLLOWING
Proven experience (8+ years) in facilities management in a fast-paced corporate environment.
Bachelor’s degree in facilities management, business administration, or a related field preferred.
Strong knowledge of building systems, construction processes, safety regulations, and compliance standards.
Exceptional organizational and project management skills with the ability to prioritize multiple tasks and deadlines.
Ability to respond during non-regular business hours for emergency situations.
Excellent communication skills, both verbal and written with management and external vendors.
Experience managing budgets and financial reporting for facilities operations. Ability to lead, supervise, and motivate a team.
Strong problem-solving skills with a proactive and solution-oriented mindset. Proficiency in facilities management software and other relevant technology (e.g., building management systems, project management tools).
LEED or other facilities management certification a plus.
Ability to attend the office in person 5 days a week.
Ability to lift 12 kilos / 27 pounds

Actual salary depends upon many factors, including a candidate’s skills, qualifications and experience, location, and salary expectations, and therefore a starting salary at the low end, high end, or even above the stated range may be offered. This position may also be eligible for bonus compensation, commission (if in a sales function), and/or equity grants.
