We are seeking a highly professional and service-oriented Executive Headquarters Coordinator to be the first point of contact at our global headquarters. This individual will play a pivotal role in creating a welcoming and seamless experience for employees, executives, customers, and visitors. The ideal candidate thrives in a fast-paced, high-visibility environment, balancing front-of-house presence with behind-the-scenes operational support.

HOW YOU'LL SPEND YOUR TIME HERE:
Reception & Guest Experience
Serve as the face of our headquarters, providing a polished, warm, and professional welcome to employees, customers, and guests.
Greet and host VIP visitors with exceptional professionalism and discretion.
Manage reception operations, including visitor registration, badging, and lobby readiness.
Assist with visitor parking arrangements, ensuring a smooth and stress-free arrival experience.
Support Executive Briefing Center (EBC) events, ensuring guest experience is seamless from arrival to departure.
Anticipate and respond timely to guests, Executives, and EAs’ needs with service excellence.
Maintain a professional dress code and appearance at all times, projecting the company’s values and brand.
Executive & Customer Support
Partner with Sales, Customer Success, and Executive teams to prepare for customer briefings, executive meetings, and leadership events.
Support logistics for customer visits, including room set-up, catering, AV, and materials.
Provide on-the-ground support during EBC sessions and executive meetings.
Operations & Vendor Management
Liaise with Workplace, Security, and IT teams to maintain a professional and safe environment.
Coordinate with vendors (food & snack, janitorial, AV, etc.) to ensure service standards are met.
Track supplies and oversee lobby/event area readiness.
Assist with administrative work such as expense management, FedEx shipping & receiving, front desk deliveries.
Event & Culture Support
Assist in execution of onsite events, employee engagement activities, and leadership town halls.
Provide administrative and logistical support for company meetings and celebrations.
Contribute to creating a vibrant and welcoming workplace culture.
WE'D LOVE TO TALK IF YOU HAVE MANY OF THE FOLLOWING:
5+ years of experience in a receptionist, front-of-house, executive assistant, or hospitality role; tech or high-profile corporate HQ experience strongly preferred.
Strong organizational skills with the ability to multitask and manage competing priorities.
Experience with visitor management systems, badging processes, and parking coordination.
Proficiency with Microsoft Office tools or similar and Workplace systems (visitor management, room booking, etc.).
Outstanding interpersonal and communication skills - both verbal and written - with executive presence and professionalism.
Demonstrated discretion, reliability, and ability to handle confidential information.
Ability to remain calm, proactive, and adaptable in fast-changing or high-pressure environments
A role model for professional conduct, positive energy, and team collaboration
Ability to be on-site every day from 8am to 5pm, and flexible in supporting occasional after-hours events.
Ability to lift up to 5–10 lbs and move supplies as needed for events.

Disclosure Pursuant to Applicable State Equal Pay Transparency Laws - This position has a starting pay range as listed below. Actual salary depends upon many factors, including a candidate’s skills, qualifications and experience, location, and salary expectations, and therefore a starting salary at the low end, high end, or even above the stated range may be offered. This position may also be eligible for bonus compensation, commission (if in a sales function), and/or equity grants. Additionally, full-time employees are eligible to participate in our comprehensive benefits framework, including health and wellness benefits, vacation, paid holidays and refresh days, 401(k) retirement plan, life and disability insurance coverages, and other benefits the Company may offer from time to time.
Pay Range :
The compensation noted above is based on an annualized hourly rate assuming normal full-time employment.

In-Office Expectations
Cohesity employees who are within a reasonable commute (e.g. within a forty-five (45) minute average travel time) work out of our core offices 2-3 days a week of their choosing.
