Summary
The Creative Producer will go beyond traditional project management, focusing heavily on strategic resource management to ensure we scale efficiently and maintain high-quality creative outputs. You will be instrumental in not only managing ongoing projects but also optimizing how we allocate and plan resources across the team to meet both current and future demands.
You will play a crucial role in maintaining an environment where creative problem-solving flourishes—ensuring the team has the support, time, and resources to produce their best work while helping leadership make data-driven decisions on when and how to scale.
Responsibilities
Work with Brand & Creative leaders to assess team capacity, aligning the right talent with the right projects at the right time.
Develop and maintain a comprehensive view of past, current, and future resourcing needs, using this data to inform scaling decisions (e.g., when to bring in freelancers, contractors, or propose full-time hires).
Build and manage a vetted pool of freelance and contract talent for flexible resourcing options.
Monitor team bandwidth and utilization rates, identifying under- or over-utilization and providing solutions to optimize workloads.
Collaborate with department leads to forecast future resource needs based on project pipelines and business goals.
Manage end-to-end project workflows, ensuring timelines, budgets, and quality standards are met.
Proactively identify project risks or resource bottlenecks and implement solutions before they impact delivery.
Maintain up-to-date project schedules and status reports, communicating effectively with key stakeholders about shifting priorities and resourcing needs.
Lead cross-functional meetings to ensure alignment on project goals, timelines, and resource requirements.
Keep the team motivated and focused on delivering high-quality creative work, even under tight deadlines.
Recommend and implement improvements to resource management processes that enhance efficiency and scalability.
Champion internal tools and systems that support better project tracking, resource planning, and team productivity.
Utilize data-driven insights to improve forecasting, resourcing decisions, and workflow optimization.
Qualifications
3-5 years of experience in resource and project management, preferably within a creative or agency environment.
Strong understanding of creative workflows and how to balance the demands of multiple projects.
Proven track record of managing internal teams alongside external freelance/contract resources.
Excellent organizational and analytical skills, with a focus on data-driven decision-making.
Strong communication and relationship-building skills to collaborate effectively across creative, marketing, and leadership teams.
Proficiency in project and resource management tools (e.g., Asana, Workfront, Smartsheet) and hours/bandwidth tracking systems.
Ability to thrive in a fast-paced, deadline-driven environment while maintaining high-quality standards.
Experience in the Finance, HR, Payroll, or B2B SaaS space.
Familiarity with AI-driven tools for optimizing creative workflows and resource management.
Demonstrated success in scaling creative teams through strategic resource planning.
