Description

We are looking for a detail-oriented, proactive Executive Assistant with 5+ years of administrative support experience to join our team. In this role, you will provide high-level executive support to senior leadership, including calendar management, travel coordination, meeting preparation, and project assistance. You will act as a gatekeeper and liaison, ensuring smooth communication between executives, staff, and external partners. This position is ideal for someone who thrives in a fast-paced corporate environment, has strong organizational skills, and can anticipate needs before they arise.

Key Responsibilities

- Manage and maintain complex executive calendars, schedule meetings, and coordinate domestic/international travel arrangements.

- Prepare, proofread, and edit correspondence, reports, and presentations.

- Organize and prepare agendas, meeting materials, and follow-up action items.

- Serve as the primary point of contact for internal teams, clients, and vendors.

- Support special projects, conduct research, and compile data for executive decision-making.

- Maintain organized filing systems (digital and physical) and handle confidential information with discretion.

- Utilize tools such as Microsoft Office Suite, Google Workspace, Zoom, Slack, and Microsoft Teams to manage workflows.

- Support overall office operations and actively contribute to initiatives that strengthen team collaboration, employee engagement, and a positive workplace culture.

Requirements

- Bachelor’s degree preferred

- 5+ years of experience as an Executive Assistant, Administrative Assistant, or Personal Assistant supporting senior executives.

- Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

- Strong written and verbal communication skills.

- Ability to prioritize multiple tasks, meet deadlines, and adapt to changing priorities.

- Proven ability to maintain confidentiality and exercise sound judgment.
